Damaged luggage airline claim: what to do first
To make a damaged luggage airline claim, inspect your bag at the carousel, report the damage at the airline's baggage desk before leaving the airport, and get a damage report with a reference number. Take clear photos of the damage and the bag tag. Airlines typically set short deadlines for written damage claims, so act on the same day whenever you can and confirm the exact process with your airline.
A cracked shell, a snapped handle or a wheel ripped clean off can spoil the start of a holiday. The good news is that the process is fairly straightforward if you document everything and know whether to approach the airline, the luggage brand or your insurer.
This guide covers the inspection routine, the report, deadlines, how airlines usually assess claims, and when your luggage warranty is the better route.
Most damage happens at predictable weak points: wheels, handles, zips and corners. Understanding which damage airlines usually accept, and which they treat as normal wear, helps you file a claim that is likely to succeed and saves you from chasing one that is not.

Inspect before you leave the belt
Before wheeling away, check the four corners, wheels, telescopic handle, carry handles, zips and the shell surface. Extend the handle fully and roll the bag a few metres. Some damage, like a bent handle tube or a wobbling wheel, is only obvious when you try to use it.
Also open the bag if it seems to have been crushed or soaked. Damaged contents such as a broken perfume bottle or a stained garment should be reported at the same time as damage to the bag itself.
If there is visible damage, do not leave the baggage area first. Once you exit, some airlines may question whether the damage happened during the flight.
Check the lock as well. If you used a TSA-approved lock on a trip to the United States, security may have opened it for inspection, usually leaving a notice inside. That is not damage, but a forced or broken lock should be photographed and reported.
Filing the report at the airport
At the baggage desk, show your boarding pass, bag tag receipt and the damaged bag. Ask for a damage report or Property Irregularity Report that describes the issue, and keep a copy or a photo. Note the reference number and the name of the staff member.
Photograph the damage from several angles, including a wide shot showing the whole bag and the airline tag still attached. Photograph any damaged contents as well. These images form the backbone of your claim.
If the desk is closed or the queue is very long and you must leave, email the airline immediately with photos and your booking details. A timestamped written record is much better than nothing.
Ask the staff to note whether the damage is to the shell, wheels, handle or zip, and whether the bag can still be used. That wording often decides whether the airline offers repair, replacement or a cash settlement.
What airlines usually cover and exclude
Airlines commonly accept responsibility for significant damage such as broken wheels, handles, cracked shells or torn fabric, though they may offer repair rather than replacement. Minor wear such as scuffs, small scratches, dents and dirt is usually treated as normal wear and tear and excluded.
Many airlines also exclude damage to protruding parts in some situations, or limit liability for fragile items packed in checked baggage. Policies differ, and international journeys may be governed by conventions that cap compensation. Read your airline's conditions of carriage for the details.
The airline may ask for the purchase receipt or an estimate of the bag's age. Compensation, if offered, is often depreciated, so an older bag may be valued below its original price.
A useful approach is to describe the damage in functional terms. Instead of saying the bag is broken, say the telescopic handle no longer extends or locks, or the front-left spinner wheel has sheared off. Specific, factual language makes it easier for the airline to assess your claim quickly.
Airline claim or brand warranty?
Many premium luggage brands offer warranties, and some cover airline damage for a limited period, while others cover only manufacturing defects. Brands such as Samsonite, Delsey, Tumi and Mokobara publish warranty terms on their websites, and these can differ by product range and country, so read them for your specific bag.
If the airline claim is slow or offers little, a warranty repair may be quicker. Some travellers file with the airline for damaged contents and use the brand warranty for the bag itself. Do not claim the same loss twice, and be transparent with both parties.
This is a strong argument for buying luxury luggage from authorised sellers and keeping the invoice and warranty card in a safe digital folder.
Keep an eye on warranty registration. Some brands require you to register the product online within a short window after purchase to activate extended cover. Doing it on the day you unbox a new case takes two minutes and can make a big difference later.
Repair, replace or retire
Wheels, handles and zip pullers are often replaceable at authorised service centres, and a good repair can add years to a premium suitcase. Cracked polycarbonate shells are harder to repair invisibly, and a crack near a corner can spread under load, so a replacement may be safer.
Ask the airline whether they have a partner repair service. Some arrange repairs directly, which saves you the trouble of getting quotes. If you choose your own repairer, keep the invoice for reimbursement.
If you decide to replace, consider stronger construction: corner guards, recessed wheels, a double-tube handle and a durable polycarbonate or aluminium shell. Paying more for these features often reduces the chance of a repeat claim.
Packing to protect your bag
Overpacking is one of the most common causes of damage. A bulging case puts strain on zips and hinges, and a shell under pressure is more likely to crack when dropped. Fill the bag firmly but do not force it closed.
Retract the telescopic handle fully, tuck in straps and remove detachable pouches before check-in. Fragile items should be wrapped in clothing at the centre of the case, away from the shell. Use a luggage cover or strap for extra protection on long journeys.
Choose a bag with protected wheels and a sturdy base if you fly through airports with long baggage chutes or frequent transfers.
Luggage covers deserve a mention. A stretchable fabric cover protects glossy shells from scratches, keeps the zips cleaner in the monsoon and makes your bag easier to spot. Remember to remove it if security needs to inspect the bag, and choose one with a zip opening for the handle.
Damage to contents: what to know
When a bag is crushed or soaked, the contents can suffer too: broken perfume, stained silk, cracked sunglasses or damaged gifts. Report damaged contents together with the bag, photograph them before cleaning or discarding anything, and keep receipts where possible. Airlines often limit liability for fragile items packed in checked baggage, so understand the policy before you pack.
For anything precious, such as heirloom jewellery, designer sunglasses or a bridal outfit, the safest place is your cabin bag. Wrap liquids in zip bags in checked luggage so a single leak does not ruin an entire wardrobe.
A simple claim checklist
Keep these items together: booking confirmation, boarding pass, bag tag receipt, damage report, photos, purchase invoice for the bag and receipts for damaged contents or repairs. Submit the written claim within the airline's deadline and keep a copy of everything you send.
Follow up politely if you do not hear back. Most airlines respond with an offer or a request for more information. If you are not satisfied, escalate through the airline's grievance process and, for domestic flights, consider the official grievance channels available to passengers in India.
Documented, prompt and calm: that is the formula that gets claims resolved.
If you travel frequently, keep a small folder in your email or cloud storage with luggage invoices, warranty cards and a photo of each bag. It turns a potentially frustrating claim into a fifteen-minute task.
