Build a master list once
Your master list is a single document with every item you might pack, grouped into categories: documents and money, clothing, footwear, accessories, toiletries, medicines, tech, travel comfort and miscellaneous. Write it once, in detail, then never start from a blank page again.
Under documents, include passport, visa, ID, tickets, hotel confirmations, travel insurance, driving licence, foreign currency, cards and printed copies. Under tech, include phone, chargers, adaptor, power bank, earphones, laptop and camera. Under travel comfort, include a neck pillow, eye mask, shawl, reusable water bottle and snacks.
Be specific. Instead of medicines, write the actual names: your prescription tablets, antihistamines, ORS sachets, painkillers, plasters, motion sickness tablets. Instead of chargers, write phone charger, watch charger, laptop charger. Specific items are much harder to forget than vague categories, and the extra detail takes only a few minutes to write once.
Organise the master list in the order you pack. Start with documents and money, which go in your handbag, then tech, then clothes from the base of the case upwards, then toiletries. Packing in the same order as the list makes it easy to tick off as you go.
Filter for each trip
For each trip, copy the master list and delete what does not apply. A domestic weekend in Pondicherry removes the passport, visa and adaptor. A beach trip to Phuket adds swimwear, reef-safe sunscreen and a sarong. A winter week in Manali adds thermals, gloves and a down jacket. A business trip to Mumbai adds a laptop, business cards and a blazer.
Ask four questions: How long? What weather? Which activities? Which events? The answers decide what stays. This is also the step to check baggage rules, since they determine whether you can take a checked bag or need to fit everything in a cabin case.
Add the trip's specific requirements at this stage. A visa printout, a vaccination certificate, an international driving permit, temple-appropriate clothing for a South India circuit, a hiking permit for a trek in Sikkim: these are the items that cause real problems if forgotten and that no generic list will remind you about.
Plan clothing by outfits
The clothing section is where most lists fail, because people write vague lines like tops or 3 dresses. Instead, list outfits per day. Day 1: travel outfit, jeans, white tee, blazer, sneakers. Day 2: sightseeing, co-ord set, sandals. Evening: black dress, heels, clutch.
Once outfits are written, consolidate them into a list of individual pieces. You will notice repeats, which is good; every piece that appears in multiple outfits earns its place. Pieces that appear only once should be questioned.
Include the clothes you will wear on travel day as a separate line. They are part of the wardrobe but do not need packing, and listing them stops you from packing your only pair of sneakers and then having nothing to wear to the airport.
Add the forgettable items
Everyone has a few things they always forget. Common ones include phone charger, adaptor, medicines, hair ties, a pen for immigration forms, sunglasses, a reusable bag, a spare pair of contact lenses and the house keys. Add a personal forgettables section at the top of your master list.
Also include tasks, not just items: water the plants, empty the fridge, inform the bank of international travel, download offline maps, check in online, charge devices, and print or save boarding passes.
One useful trick is to add a final line that says check every room. Before you leave, walk through the bedroom, bathroom and living room looking for chargers still plugged into walls, medicines on the bedside table and glasses on the desk. The same check works at the hotel on the last morning.
Packing a small emergency pouch helps with the things people forget most. A spare phone cable, a couple of safety pins, a mini sewing kit, a few plasters, hair ties and a spare earring back weigh almost nothing and live permanently in your handbag.
Digital or paper?
Digital lists in a notes app or spreadsheet are easy to copy, edit and share with a travel partner. Some travellers use dedicated packing list apps, which suggest items based on weather and activities. Paper lists are satisfying to tick off and work well for families, especially when children pack their own bags.
Many people use both: a digital master list and a printed trip list stuck on the bedroom wall during packing. Choose whatever you will actually use.
Whichever you choose, keep the list somewhere you can reach it on the trip as well. Ticking off items while repacking at the hotel ensures you leave with everything you arrived with, which matters on multi-stop holidays where you pack five or six times.
A sample 5-day packing list
Here is a sample filtered list for a five-day trip to Singapore in the cooler months. Documents: passport, e-visa if required, tickets, hotel booking, insurance, cards, some local currency. Clothing: five tops, three bottoms, one dress, one light cardigan, sleepwear, five sets of innerwear, swimwear. Footwear: sneakers worn on travel day, sandals and block heels.
Toiletries: decanted shampoo and conditioner, cleanser, moisturiser, sunscreen, makeup essentials, toothbrush and toothpaste. Medicines: personal prescriptions, painkillers, antacids, plasters. Tech: phone, charger, universal adaptor, power bank, earphones. Comfort: shawl, eye mask, refillable bottle. Bags: a cabin trolley, a sling bag for the day and a clutch for the evening.
For a domestic version, such as five days in Udaipur in winter, remove the passport and adaptor, add a warm shawl and a light jacket for cool evenings, swap swimwear for a pool-friendly kaftan, and include one festive outfit if you plan a dinner at a palace hotel. The structure of the list stays the same; only the details change.
Review and improve after each trip
After every trip, open the list and update it. Delete what you did not use. Add what you missed. Note what you would do differently. Over three or four trips, your list becomes a precise reflection of how you travel.
Keep separate templates for your most common trip types: a business trip, a beach holiday, a winter trip and a family wedding. Each one starts from the master list but is already filtered, which saves time.
Add notes beside items as well as ticks. One pair of sandals was enough, or needed a warmer layer for evenings in Ooty, or the hotel had a hairdryer. These notes make the next trip to a similar place far easier to plan, and over time your list becomes a personal travel guide.
Pair your list with the right luggage
