Step 1: Plan by outfits, not items
A simple table on your phone works well: days across the top, occasions down the side, and an outfit in each box. It takes five minutes and shows instantly whether you are planning four dinner looks for two dinners. It also helps you pack accessories with purpose, matching a pair of earrings or a bag to each evening rather than throwing in your whole jewellery box.
Start with the itinerary. Write down each day and each occasion: travel day, sightseeing, a dinner, a pool day, a meeting. Then assign one outfit to each slot, reusing pieces wherever possible. A pair of wide-leg trousers might appear in three outfits; a black slip dress might do a dinner and, with a blazer, a meeting.
Check the weather forecast for your destination a few days before you leave and adjust. Mumbai in July needs quick-dry fabrics and closed shoes; Rajasthan in December needs layers for cold mornings and warm afternoons; Singapore needs breathable cotton and a light layer for icy air-conditioning.
Step 2: Lay everything out and edit
Be honest during the edit. If an item is a just-in-case piece, ask what you would do if you needed it and did not have it. In most cities in India and abroad, the answer is that you could buy or borrow it. That thought alone usually removes two or three items, which can be the difference between a cabin bag and a checked one.
Finally, check every outfit for a matching pair of shoes from your shortlist. If an outfit needs a fourth pair of shoes, replace the outfit, not the rule.
Put every planned item on your bed, grouped by outfit, along with shoes, accessories, toiletries and tech. Seeing it all at once reveals duplication: three white tops, two pairs of similar sandals. Remove anything that does not appear in at least two outfits, unless it is a special-occasion piece.
This is also the moment to separate what you will wear on travel day. Your bulkiest jacket, heaviest shoes and jeans should be worn, not packed. Put travel-day clothes on a chair so they do not end up in the case by mistake.
Step 3: Prepare the suitcase
Pick the right size too. For a long weekend, a cabin trolley of around 55 cm is usually enough; for one to two weeks, a medium check-in case of around 65 to 70 cm; and for long trips or family packing, a large case of around 75 to 80 cm. A bag that is too large for the trip invites overpacking and adds unnecessary weight to your allowance.
Open the case fully and check it. Empty any pockets from the last trip, wipe the interior, and test the zips, wheels and lock. If you have a TSA-approved lock, confirm you know the combination. Unzip the expansion gusset only if you genuinely need it; expanded cases are harder to lift and more likely to exceed weight limits.
Have your organisers ready: packing cubes, shoe bags, a toiletry case, a tech pouch and a laundry bag. Knowing where each category will go before you start placing items saves repeated unpacking and repacking.
Step 4: Shoes and heavy items first
With the case lying flat and the wheels towards you, place shoes in shoe bags along the wheel end, in the channels between the handle tubes. Add the toiletry case, a hair tool and any books or heavy items in the same zone. When you stand the suitcase upright, this weight will sit at the bottom, which keeps the case stable and makes it glide smoothly on its wheels.
Stuff shoes with socks or small items to use their inner space. Wrap anything that could leak in a zip bag, even inside the toiletry case. If you are flying with checked luggage, keep medicines, jewellery, power banks and valuables out of this layer altogether; they belong in your carry-on.
Step 5: Build the base layer
If your case is a 50:50 clamshell, build the base layer in one half and use the other half for folded pieces under the divider panel. In a 60:40 or top-loading case, the deeper side takes the base layer and shoes, while the shallower lid holds flat items. Either way, the logic is the same: firm and soft at the bottom, flat and delicate at the top.
Now fill the base with soft, rolled or file-folded items: T-shirts, leggings, loungewear, gym clothes, innerwear and swimwear. If you use packing cubes, these go in now, largest first, fitted together like bricks. The aim is a level, firm surface across the whole case with no hollows.
Fill any remaining gaps with rolled socks, scarves or a foldable bag. Gaps are where items shift during handling, and shifting causes creases.
Step 6: Folded pieces and the outfit you need first
For trips that involve a festive event, such as a cousin's engagement in Lucknow, keep the festive outfit in a separate garment folder or a flat cube with tissue paper, and place it on top so nothing presses on embroidery. Jewellery and anything valuable should never go in this layer; it travels in your carry-on.
On top of the base layer, lay structured items flat: trousers along the full length of the case, then shirts and dresses folded as few times as possible, with tissue between layers for silk or linen. Blazers can be folded inside out with shoulders tucked into each other, or carried in a garment folder.
The very top layer is for the outfit you will wear first on arrival and anything you may need to reach quickly, such as a light jacket. If you are arriving in the evening for a dinner, that outfit goes here, so you can lift it out and hang it immediately.
Step 7: Close, strap and weigh
Also check the external dimensions if you are flying cabin-only. An overstuffed soft case or an expanded hard case may no longer fit the airline sizer, typically around 55 x 40 x 20 cm on Indian domestic carriers. A bag that bulges at the front pocket is the most common reason for being asked to gate-check at the last minute.
Fasten the internal compression straps or zip the divider panel over your clothes. Close the lid and zip without forcing it; if you have to sit on the case, remove something. Lock it if needed. Then weigh the packed bag with a handheld luggage scale.
Indian domestic carriers typically allow around 7 kg for cabin baggage and often 15 kg checked on economy fares, while international fares vary by route and class. Treat these as typical figures and confirm your own allowance on your booking. If you are close to the limit, move dense items like books or a second pair of shoes to your carry-on or simply leave them behind.
Step 8: Pack your carry-on and final checks
Your carry-on, whether a tote, a sling or a cabin backpack, holds the things you cannot afford to lose or need in transit: passport, ID, tickets, wallet, phone, chargers, medicines, jewellery, a change of innerwear, a shawl and any liquids in a clear bag within cabin rules. Keep these out of the checked case.
Before leaving, take a photo of the inside of your packed case. It helps if your bag is delayed and you need to list the contents. Attach a sturdy luggage tag with your phone number and email. Then check that the outfit for travel day is ready and your keys are in your bag. You are done.
