The ideal personal item for work
The best personal item bag for work flights is a structured tote, slim backpack or underseat bag of about 15 to 25 litres, with a padded laptop sleeve, a zip top, a trolley sleeve and a quick-access pocket, small enough to slide under the seat in front of you. On many airlines a personal item of roughly 40 x 30 x 15 cm is accepted, but limits vary widely by carrier and fare, so check your booking before you fly.
For business travellers, the personal item is the most important bag on the plane. It holds your laptop, documents, chargers, medicines and anything you need during the flight or immediately after landing. If your cabin trolley is gate-checked on a full flight, your personal item is what you walk into the meeting with. Choosing it well is about function and appearance in equal measure.
This guide explains sizes, styles and packing so you can pick one bag that works at the gate, under the seat and on the client's conference table.

Understanding personal item rules
Airlines usually allow one cabin bag plus one personal item, such as a handbag, laptop bag or small backpack. Full-service carriers on domestic and international routes often allow a separate personal item on top of the cabin bag. Some low-cost fares combine both into a single weight allowance, typically around 7 kg on Indian domestic routes, or charge extra for a full-size cabin bag.
Dimensions for personal items differ from airline to airline, and the published numbers change from time to time. A bag that passes on one carrier may be challenged on another, so look up your specific airline before each trip. Soft-sided bags are more forgiving, because they can squeeze slightly into sizers and under seats.
Laptops, power banks and medicines should always travel in your personal item or cabin bag, not in checked luggage.
Tote, backpack or underseater
A structured leather or coated-canvas tote is the most polished personal item, ideal for client meetings. Look for a flat base, a padded sleeve for your laptop, a zip closure, and a trolley sleeve so the tote rides on your cabin bag through the terminal.
A slim laptop backpack spreads weight across both shoulders, which helps on long walks and with heavier laptops. Premium nylon or leather backpacks look smart enough for most offices, especially in tech and consulting.
An underseater is a small wheeled or soft bag designed specifically to fit beneath an aircraft seat. It suits one-night trips on low-cost fares where only a personal item is free. Some have wheels and a handle, others are soft duffles with a laptop pocket.
Some underseaters have wheels, which help through terminals but add weight and take up interior space. Soft underseaters are lighter and squeeze into tighter spaces under seats, which makes them the more flexible choice on strict fares.
What to pack in your personal item
Laptop and charger. A tech organiser with cables, a power bank and earbuds. Document organiser with ID, boarding pass and cards. Medicines in their original packaging. A small make-up and refresh kit. A light shawl or cardigan for cold cabins. An empty water bottle to refill after security. A snack for delays.
If your cabin bag might be gate-checked, add a fresh top, underwear and your toothbrush. That way, even if the trolley is delayed or misplaced, you can get through the next day.
Valuables such as jewellery and a watch should always stay in the personal item, never in a gate-checked or hold bag.
If you wear glasses or contact lenses, add a spare pair or a lens case and solution within liquid limits. Dry cabin air can make lenses uncomfortable on longer flights, and switching to glasses before a meeting is easier when they are in the bag at your feet.
Keep a small pouch of cash and a spare card in the personal item as well, separate from your main wallet, so a lost wallet does not leave you stranded.
Organising for in-flight access
Pack in layers, with the items you need during the flight on top: earbuds, a book or tablet, lip balm, hand cream, mints and your phone. The laptop goes in its sleeve against the back panel, documents in the front pocket, and the tech pouch in the middle.
Under the seat, the bag should sit upright with its opening facing you. A bag with a top zip that opens wide makes it easy to reach inside without pulling the whole bag out.
If you plan to work on the flight, keep the laptop charger accessible, though many domestic aircraft do not have power outlets.
If the overhead bins fill up and your trolley is gate-checked, a well-organised personal item means you lose nothing you need for the meeting, because every essential was already at your feet.
Matching your personal item to your cabin bag
If you travel with a cabin trolley, your personal item should complement it in colour and style. A black nylon spinner with a tan leather tote looks deliberate and professional. Make sure the tote's trolley sleeve fits the trolley's handle comfortably.
For carry-on-only trips with a strict allowance, put your heaviest dense items, like the laptop and chargers, in the personal item and keep the trolley lighter for lifting into the overhead bin.
For one-night trips, the personal item might be your only bag. In that case, choose a slightly larger underseater or a convertible tote.
Common personal item mistakes
Choosing a bag too large for under-seat spaces, then having to put it in the overhead bin where you cannot reach it. Overloading it until the zip strains. Picking a slouchy bag that collapses when set down, spilling contents.
Forgetting that low-cost fares may weigh personal items together with cabin bags. Leaving medicines or chargers in a bag that gets gate-checked.
And using a bag that looks great at the airport but wrong in a meeting room, or vice versa.
Another common error is choosing a personal item in a light colour. Under-seat spaces, airport floors and cab boots are not clean, and pale bags show marks quickly. Dark neutrals or textured finishes hide wear better.
Personal item strategies by trip type
On a same-day return, the personal item is your entire luggage. Choose a structured tote or slim backpack that carries the laptop, documents, tech pouch and refresh kit, and nothing more. Because you will carry it through two airports, several cabs and a full day of meetings, comfort matters as much as looks. A padded strap, a crossbody option and an empty weight under about 1.2 kg make a long day noticeably easier.
On a one-night trip with a strict low-cost fare, the personal item may need to hold clothes as well. An underseater or an expandable work tote with a shoe pocket can take a second outfit, sleepwear and minis alongside the laptop. Wear your bulkiest pieces, roll everything soft, and keep the laptop in the sleeve against the back panel so the bag still slides under the seat.
On longer trips with a cabin trolley, the personal item goes back to being a work bag. Move the heaviest dense items into it, keep the trolley lighter for lifting into the overhead bin, and use the trolley sleeve so the tote rides on the handle through the terminal. When you reach the client's office, the trolley stays at reception and the tote comes into the meeting with you.
Whichever pattern you follow most often should decide the bag you buy. Women who mostly do day trips should prioritise polish and comfort; frequent one-night travellers should prioritise capacity; long-trip travellers should prioritise the trolley sleeve and organisation.
Final checklist
Size: check your airline's personal item limit. Structure: flat base, zip top. Laptop: padded sleeve sized for your device in its case. Convenience: trolley sleeve, quick-access pocket, water bottle slot. Style: neutral colour that suits your work wardrobe.
Pack: laptop, tech pouch, documents, medicines, refresh kit, layer, snack, and a contingency outfit if needed.
