Why a gold jewellery bill checklist matters
A complete gold jewellery bill should show the jeweller's GSTIN, the HUID and purity of each piece, gross and net weight, the gold rate applied, making charges, stone details and GST separately. Use this gold jewellery bill checklist before you pay, because the invoice is your proof of purity, value and ownership for exchange, buyback and insurance.
Many buyers glance only at the final total. Yet the details printed above that total decide how smoothly future exchanges go, how insurers treat a claim and whether you can resolve a dispute about purity or weight. Checking takes a few minutes and protects a purchase that may be worth a great deal.
Here are twelve points to check on every bill, grouped into seller details, item details, price breakup and policy terms.
Jewellers deal with large volumes of transactions, especially during festivals and wedding seasons, and errors can occasionally slip through, such as a wrong weight typed into the system or a rate from the previous day. Catching these at the counter is easy. Catching them months later is much harder, so build the habit of reading every bill line before you sign or pay.

Seller details: points 1 to 3
1. Jeweller name and address. The legal business name and full address of the store or online seller should be printed clearly. For marketplaces, note whether the bill is from the platform or an individual seller.
2. GSTIN. A valid GST identification number confirms the seller is registered for tax. You can verify it using the search taxpayer option on the official GST portal.
3. Invoice number and date. A unique serial number and date help identify the transaction later. Some jewellers also print the time and salesperson's name, which can be useful for follow-ups.
It also helps to note the store branch and contact number, especially for chains with many outlets. If you need to follow up about an exchange, a repair or a missing certificate, knowing exactly where the bill was issued saves time and avoids being passed between branches.
Item details: points 4 to 7
4. Description of each item. The bill should describe each piece, for example ladies ring with diamonds or 22K chain, rather than a vague total. For sets, each component should be listed.
5. Purity and HUID. The karat and fineness, such as 22K916 or 18K750, and the six-digit HUID for each hallmarked item should match the marks on the jewellery. Verify the HUID in the BIS Care app before leaving.
6. Gross weight. The total weight of the piece, including stones, beads or other materials.
7. Net weight and stone weight. Net weight is gold only, and stone weight is shown separately, often in carats for diamonds. Gold rate must be applied to net weight, never gross weight.
If you are buying several items, ask the jeweller to read out each line with you. This quick review helps catch small errors, such as a missing item, swapped weights or a HUID belonging to a different piece. Matching each physical item with its line on the bill before packing takes a couple of minutes and prevents later confusion.
Price breakup: points 8 to 10
8. Gold rate applied. The rate per gram for the purity of the item on that date. This lets you check whether the gold value is correctly calculated and compare with other jewellers' rates.
9. Making charges and wastage. Labour should be shown as a percentage, per gram or flat amount, with any wastage or value addition listed separately or included clearly. Combined labour is the figure to compare across shops.
10. Stone charges and certification. Diamonds and gemstones should be priced separately with weight and quality description. If a lab grading report accompanies a diamond, its number may be printed on the bill. The bill should state whether diamonds are natural or lab-grown.
For custom or made-to-order pieces, an advance receipt is usually issued first, followed by a final invoice on delivery. Make sure the advance receipt records the agreed design, purity, approximate weight, making charge and any rate booking. On delivery, check that the final invoice reflects the actual weight and the agreed terms.
Tax and total: point 11
11. Taxable value, GST rate and tax amount. The bill should show the taxable total, the GST rate and the tax amount separately, split as CGST and SGST for same-state sales or IGST for inter-state sales. The final total should match your payment.
Check that discounts are applied before tax rather than after. If a making charge discount is offered, the taxable value should reflect the reduced labour.
Note the payment method on the bill, especially for large payments, and keep bank or card statements as supporting evidence.
If you pay partly through old gold exchange, partly by card and partly by bank transfer, ask the jeweller to show each payment mode and amount on the bill. A clear split makes reconciliation easy later and avoids confusion if a refund or adjustment is ever required.
Policy terms: point 12
12. Exchange, buyback and return terms. Many jewellers print key terms on the back of the bill or on a separate card. These may include exchange value calculation, deductions, buyback eligibility, return windows for online orders and lifetime maintenance services.
If terms are not printed, ask for them in writing or by email. Policies vary widely by seller and can change, so having the version applicable at the time of purchase is useful.
For diamond jewellery, check whether diamond value is included in exchange or buyback and at what rate.
Some jewellers also print warranty or maintenance details, such as free cleaning, prong checks or rhodium replating for a period. These are useful benefits, so keep them with the bill and note the dates. Using them regularly keeps your jewellery in good condition and lets you spot loose stones early.
Common mistakes to avoid
Accepting a bill with only one weight figure. Ask whether it is gross or net, and request both. Accepting a total with no labour breakup. Without it, you cannot compare offers or understand what you paid for.
Skipping the bill for a discount. The small saving is not worth losing proof of purity and value. Not checking that HUID and purity on the bill match the jewellery itself.
Losing the bill. Photograph every invoice and store a digital copy in your email or cloud storage, along with a photo of the jewellery and its hallmark.
Another mistake is not keeping receipts for old gold handed over in exchange. The new invoice may show only the adjusted amount. Insist on a separate receipt for old gold, listing each item, weight, tested purity and value, and file it with the new bill.
Finally, do not rely solely on the jeweller's records. Businesses change systems, close or move. Your own copies are the most reliable proof.
For online purchases
Download the tax invoice from your order page or email. Confirm it contains the same details as a store bill: GSTIN, HUID, purity, weights, rate and price breakup. If anything is missing, contact the seller during the return window.
Record your unboxing and check the hallmark immediately. If the item or invoice details do not match, raise the issue promptly with photos.
Keep the packaging, certificates and tags until you are sure you will keep the piece.
For gifts ordered online, the invoice may be emailed to the buyer while the jewellery goes to the recipient. Forward the invoice, certificate and HUID details to the recipient, so they can access warranty, exchange and insurance support independently later.
Keep your records organised
Create a folder, physical and digital, for all jewellery bills, certificates, HUID photos and exchange receipts. Label each with the date, item and jeweller. Update it whenever you buy, exchange or redesign.
This simple system makes exchange smoother, supports insurance claims and helps family members understand the collection. A good bill and good records turn your jewellery into a well-documented asset.
Families who manage large collections sometimes keep a simple spreadsheet with columns for item, date, jeweller, purity, net weight, HUID, price paid and location of the bill. It takes a little effort to start but becomes invaluable for insurance, estate planning and fair division of heirlooms among children.
